JOB SUMMARY 

The Legal Operations Associate is responsible for supporting the operations of the Legal Department, with responsibility for administration and tracking of contract review requests, and ownership of contract maintenance processes.  This role will also support privacy, corporate governance and compliance functions as needed.

Candidates located in Jacksonville, Florida are highly preferred. 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Responsible for the administration and tracking of contract review requests and follow-up with internal clients on status of pending requests.
  • Review, draft, and revise amendments, work orders, change orders, confidentiality agreements, services agreements, and other related documents on Advanced Group templates.
  • Work with internal stakeholders on completing contractual documents.
  • Monitor shared mailbox and maintain list of new requests for assignment to members of the Legal Department each day
  • Complete template documents for review by attorneys
  • Assist attorneys with compiling and finalizing documents for review and signature by clients
  • At the direction of reviewing attorneys, circulate fully executed agreements to stakeholders
  • Store all fully executed documents and organize and maintain Legal Department files
  • Support management and organization of contract templates, negotiation checklists, and other documents and tools maintained by the Legal Department
  • Create, maintain, and continually improve contract maintenance processes, including storing executed agreements and relevant correspondence for prompt retrieval and tracking review due dates and contract lifecycle.
  • Follow up on outstanding items with attorneys and internal clients
  • Maintain Legal Department intranet pages
  • Compile and analyze performance data, and prepare charts and reports, as required
  • Coordinate meeting setup, travel and expense reporting
  • Adhere to Company Employee Handbook, Standard Operating Procedures, and Corporate Policies
  • Adhere to strict code of confidentiality as it relates to clients, policies, and procedures of the Company
  • Provide excellent customer service to all internal and external clients.
  • Perform other tasks and projects as requested

QUALIFICATIONS

  • Associates Degree or equivalent experience.
  • 3+ years of experience in contract or operational administration strongly preferred.
  • Occasional travel may be required.

  • Strategic thinking, problem-solving skills and the ability to identify process improvements.
  • Experience handling multiple projects simultaneously and independently.
  • Ability to work collaboratively with the sales team, maintaining a high degree of accuracy and attention to detail in work product
  • Strong organizational skills with the ability to manage deadlines and determine priorities.
  • Advanced computer skills, including Microsoft Outlook, Word, Excel, Visio, SmartSheet, and DocuSign.
  • Experience with AI and contracts management tools a plus.
